01

The situation.

The broker is a UK commercial insurance broker serving businesses across several lines. Its advisors were skilled, and its process was held together by manual steps. From the first enquiry to the renewal reminder, work moved between tools by copy and paste.

Leads from comparison sites, Google Ads and direct contact all landed in one Gmail inbox, and someone copied the details across. Management reviewed every lead by hand and allocated it by product, complexity, specialism and who was free.

Each advisor tracked their own leads in their own spreadsheet, so there was no shared pipeline and no common view of what was stuck. A 15 to 20 minute call was followed by typing notes into Open GI, then building each quote, schedule and welcome pack document by hand.

02

What we built.

A complete commercial admin system, built around Open GI: a custom dashboard with three pipelines, stage-by-stage checklists and AI-assisted documents. Open GI stays the system of record, and the dashboard does the repetitive work around it.

6 steps · a person approves

  1. 01Source

A new lead arrives. It is auto-assigned by keyword and specialism, with admin review before full automation.

  2. 02Person

The advisor works the case on a drag-and-drop pipeline. Every stage has its own checklist and list of required documents.

    Advisor

  3. 03Agent

The call is transcribed. AI reads the transcript and fills about 25 of the 30 case fields.

  4. 04Agent

The broker’ own Open GI templates are fetched and filled with the case data.

  5. 05Person

The advisor edits the document in a live editor inside the dashboard before anything is sent. Each document is marked as created, with who made it, when, and at which stage.

  6. 06Check

The case is filed into Open GI and the stage advances. Renewals and mid-term adjustments run through their own pipelines, with follow-up at set day markers.

03

How it works day to day.

Advisors work from one shared pipeline, with a management view across the team. The system works with Open GI templates, Microsoft 365 and Google Drive, so the team keeps the tools it already trusts.

Human in the loop, by design: advisors review and edit every document before it leaves. Rather than a heavy full integration with Open GI, the system fetches the firm’s own templates and fills them, so wording, branding and compliance stay exactly as the firm has approved.

Changes keep coming from daily use: collapsible case notes, a not-required toggle on checklists and a monthly renewals sheet view, all requested by the team.

04

The results.

  • 247cases filed into Open GI in 30 days
  • 25 of 30case fields auto-filled from call transcripts
  • 3pipelines in one dashboard: New Business, Renewals, MTAs
  • 1place for documents, checklists and audit trail

Next up: putting a number on the hours saved, with the client’s own baseline.

05

How we got there.

  1. Nov 2025

    Discovery

Mapped the full lead-to-renewal journey, produced a current-state analysis and a vision pack, and showed the client a mock-up dashboard before any build started.

  2. Winter to Jul 2026

    Build and test

Built the three pipelines, template filling and call transcription. Demonstrated AI field fill to the client in June. Feedback turned into fixes within days.

  3. Aug 2026 onward

    Go-live and rollout

The client confirmed readiness to go live with Open GI on 6 August. Advisor training followed on 27 August, and the renewals module was in daily use by 9 September.

06

What happened next.

  • An accounts pipeline: the client has asked for one, and wants it done quickly. Scoping is underway.
  • Faster case filing: 247 cases filed into Open GI in a single 30-day window.
  • A WhatsApp lead agent: a WhatsApp and website lead agent, from our system for insurance brokers, was added on top of the dashboard.

“Even if it only fills in 90% of the information... it’s still a massive time saving.”

Before you book

What does it cost?

Every engagement starts with the AI Blueprint, priced up front. The first system is a fixed fee, set from what the Blueprint finds. Nothing is quoted cold.

Where does our data go?

Nowhere new. It runs in secure environments, on your cloud or your own servers. Every action is logged, and nothing trains anyone else's model.

How much of our team's time does it take?

Most at the start, while we learn how the work really happens. After that, a short weekly session with the people using it.

Who owns what you build?

You do. The systems, the data, the prompts and the documentation.

Pick a time that suits you.
